Terms of Use

These Terms of Use govern access to and use of the Omicron Knowledge Base service, offered through the Website https://omicron.javocsoft.com. By registering for and using the Service, you fully accept these Terms.

1. User registration and access

  • To use the Service, you need to create a user account using an email address and a password.
  • You agree to provide accurate and up‑to‑date information and to keep your login details confidential.
  • You are responsible for all activities carried out under your account.

2. Description of the Service

Omicron Knowledge Base allows you to:

  • Upload files in the following formats: pdf, doc, docx, xls, xlsx, txt and md.
  • Create rich text notes with metadata (tags, author, area, language) to capture knowledge directly in the platform.
  • Create knowledge capsules (question‑answer pairs) with metadata to enrich the knowledge base.
  • Store those files, notes and capsules in encrypted form on the Service's systems.
  • Process the documents, notes and capsules to extract text fragments, send those fragments to an external AI service to generate embedding vectors, and store the resulting vectors in a vector database, enabling advanced semantic search and query capabilities.
  • Send relevant text fragments from your documents, notes and capsules as context to an external AI service in order to generate natural language answers to your conversational queries.
  • Store private credentials (passwords, API keys, TOTP secrets and other sensitive data) in an encrypted personal vault. All vault fields are encrypted at rest. Passwords, usernames and authentication keys are never indexed or sent to any external AI service.

Access to documents, notes, capsules and results is restricted to each user with respect to their own content. Users cannot view other users' content, and the system administrator cannot see documents, notes or capsule answers in clear text.

3. User‑uploaded content

  • You are solely responsible for the content of the files you upload and the notes and capsules you create in the Service.
  • You represent and warrant that you hold all necessary rights (including data protection and intellectual property rights) to upload, store and process such documents, notes and capsules through the Service.
  • You must not upload any content that is unlawful, contrary to morality or public order, or that infringes third‑party rights, including content that infringes copyright or trademarks, or that contains personal data of third parties without a valid legal basis.
  • If the owner detects or becomes aware of any content that may be unlawful or harmful, the owner may suspend or cancel the relevant user account and delete or block access to the affected documents, without prejudice to any legal actions that may be appropriate.
  • Text notes you create within the Service may contain @sc;XXXXXXXXXXXX tokens that act as references to credentials stored in your personal vault. These tokens are plain‑text identifiers and do not expose credential secrets. You are responsible for not referencing credentials inappropriately in notes accessible to other users.

3a. Secure Vault

  • You are solely responsible for the credentials you choose to store in your personal vault.
  • The Service encrypts all vault fields (name, folder, username, password, authentication key, notes, tags and websites) using AES‑256‑GCM with a per‑user key. However, no encryption system is completely invulnerable. You acknowledge the inherent risks associated with storing sensitive information in any online service.
  • The Service owner cannot recover your stored passwords. If your account is deleted, all vault entries are permanently erased and cannot be recovered.
  • Passwords, usernames and authentication keys stored in the vault are never sent to any external AI provider and are never included in AI‑generated responses. Only credential names, folder names and notes may be used as context fragments by the AI assistant, and solely to answer questions from the owning user.
  • You must not store credentials that belong to third parties or that you are not authorised to use.

4. Privacy and data protection

The processing of users' personal data is governed by the Privacy Policy, which forms an integral part of these Terms and which you acknowledge and accept.

These Terms of Use must be read together with the Privacy Policy and the Legal Notice, which provide additional information on data protection, applicable regulations and the identity of the service provider.

When accessing and using Omicron from the European Union or Spain, the processing of personal data is carried out in accordance with Regulation (EU) 2016/679 (GDPR) and the Spanish Organic Law 3/2018 on Data Protection and Digital Rights (LOPDGDD).

5. Service security and availability

  • The owner applies reasonable technical and organisational measures to protect the confidentiality and integrity of the data stored through the Service.
  • However, you acknowledge that no system is completely invulnerable and accept the inherent risks associated with the use of online services.
  • The owner does not guarantee uninterrupted availability of the Service but will use reasonable efforts to avoid interruptions and to restore operation in case of technical issues.
  • Daily automated backups of all system data are performed and stored both locally and on a geographically separate off‑site server. All external copies are encrypted so that, in the event of a system failure or data loss, the Service can be restored to its most recent available state.

6. Proper use of the Service

  • You agree to use the Service in accordance with the law, these Terms, the Legal Notice and the Privacy Policy.
  • You must not use the Service in any way that may damage, overload, impair or interfere with its normal operation, or that may harm the rights and interests of the owner or any third party.
  • In particular, you are prohibited from attempting to gain unauthorised access to systems, other users' accounts or restricted areas of the infrastructure.

7. Limitation of liability

  • The owner shall not be liable for any damages arising from improper use of the Service by users or from the use of documents and AI‑generated responses.
  • AI services are used as a support tool and their outputs may contain errors or inaccuracies. You should critically review any responses and must not rely solely on them for critical decisions.

8. Modification and termination of the Service

  • The owner reserves the right to modify, suspend or discontinue the Service, or any of its features, at any time and without prior notice, for technical, security, legal or business reasons.
  • You may cancel your account at any time. Cancellation will result in the deletion of your documents, notes, knowledge capsules and associated data, without prejudice to the retention of certain information for the periods provided for by applicable law.

9. Changes to these Terms

The owner may amend these Terms of Use at any time. The new terms will apply from the time they are published on the Website. If you continue using the Service after such amendments, you will be deemed to accept the new terms.

10. Applicable law and jurisdiction

These Terms shall be governed by Spanish law. The parties submit to the Courts and Tribunals of the city of Barcelona, expressly waiving any other jurisdiction that may correspond to them.
